JOB BRIEF (PURPOSE)

  • The Executive Admin Business Analyst will provide high-level administrative support to the executive leadership team and its organization and fulfill business analyst duties on strategic initiatives reporting, business development, marketing, and branding. This role requires a proactive individual with exceptional organizational skills, analytical abilities, and a keen eye for detail.


ESSENTIAL JOB FUNCTIONS

  • Administrative Tasks:
    • Manage executive schedules, including meetings, appointments, and travel arrangements
    • Coordinate and organize meetings for onsite and offsite events, including preparing agendas and minutes
    • Prepare and edit correspondence, reports, and presentations
    • Support the development and coordination of training events
    • Assist with employee onboarding and offboarding
    • Catering for department events including external reservations


  • Executive Reporting:
    • Compile management reports monthly
    • Portfolio summary reporting inputs quarterly
    • Develop and maintain dashboards and reports to track key performance metrics
    • Collaborate with various departments to gather and analyze data
    • Prepare detailed reports and presentations based on analysis
    • Responses to third party and vendor questionnaires


  • Business Development:
    • Update new business reports monthly
    • Maintain and coordinate business review reports quarterly
    • Coordinate the execution of securitization documents
    • Coordinate legal documentation for new business
    • Assistance with RFPs and proposals
    • Projections and reporting presentations
    • Pipelines for new business and expansions
    • Competitor/Industry Reporting


  • Marketing and Branding:
    • Produce and update ongoing presentations for various needs
    • Ensure branding is consistent for internal and external communications
    • Coordinate marketing events and communicate with clients regarding the agenda and any schedule updates before and during the events
    • Coordinate meetings and events with third-party vendors 
    • Client gifting


REQUIRED QUALIFICATIONS

  • Minimum of 3 years of experience in an executive assistant or business analyst role
  • Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Highly organized with the ability to manage multiple priorities and tasks
  • Strong analytical and problem-solving skills
  • Ability to work independently and as part of a team
  • Discretion and confidentiality in handling sensitive information


PREFERRED QUALIFICATIONS

  • Background in commercial real estate
  • Familiarity with real estate terminology and processes
  • Ability to read and interpret loan documents
  • Experience with human resource system Workday
  • Experience with systems for market analysis and property research (CoStar, Trepp)
  • Experience with software for managing client relationships and tracking interactions (Jiffle, Salesforce)
