About This Role:

K- State Olathe is seeking qualified applicants for a Fiscal and Operations Coordinator position. This is a dynamic position that assists in the direction and coordination of the operational, personnel, fiscal, logistical and managerial activities of the K-State Olathe campus. It also performs a variety of fiscal and administrative support functions that may include purchasing, accounts payable and receivable, payroll, budget management, and other fiscal areas ensuring the university funding is appropriately monitored and accounted for within guidelines supporting the campus. Organization and coordination of workflows is essential. In order to meet and exceed the expectations of the diverse groups integral to the success of the campus, this position will require an individual that has a strong work ethic, is personable, adaptive, creative, innovative, and organized.

The incumbent will require a high level of organization, the ability to prioritize multiple competing priorities, critical thinking skills, and commitment to meeting deadlines. The Fiscal and Operations Coordinator plays an active role in collecting the information for developing the yearly budget as well as monitoring and tracking expenditures throughout the year assisting with annual audits.

This position works with individuals across the campus as well as vendors and clients in order to provide fiscal and administrative support on a wide variety of programs, initiatives, and events. Responsibilities include:

Financial Transactions and Operations

  • Support the day-to-day operation of fiscal processes, including the integrity, timeliness, and compliance of financial accounting transactions and records
  • Prepare fiscal transactions for a variety of transaction types, including accounts payable/receivable.
  • Successfully navigate and utilize multiple systems in the preparation of fiscal transactions.
  • Process and reconcile bank deposits. Manage multiple accounts pertaining to various checking, money management, and bond accounts.
  • Support daily business activities, as well as inventory management and asset tracking systems.
  • Assist campus leadership in the preparation of annual budgets. Also assist in monitoring budget performance throughout the year.
  • Identify, recommend, and execute process improvements/efficiencies as they relate to the fiscal or operational aspects of a wide variety of programs
  • Support the Director of Business and Finance Services in meeting audit information requests in a timely and accurate manner.
  • Demonstrate critical thinking and problem-solving skills in day-to-day responsibilities and other projects as assigned
  • Collaborate with individuals campus-wide to understand programmatic needs from a fiscal and operational support standpoint and work with the Director of Business and Finance to ensure needs are met

Contract Administration

  • Maintain and manage files on all leases, contracts, and other legal documents; correspond with legal counsel when necessary
  • Review and follow up on existing contracts
  • Research/background new vendors
  • Manage payment schedules and actions (check requisitions, invoice payments, international wires) and meet with individuals as needed to confirm satisfactory execution
  • Assist on purchase orders for project materials as needed

Reporting/Communication

  • Assist in managing and reporting on key metrics including enrollment, credit hours, and budget status
  • Ensure compliance with university policies and procedures for various accounting transactions
  • Communicate verbally and in writing with internal and external contacts in order to resolve discrepancies and exchange or update information; answer direct questions about policy and procedure issues
  • Assist in the development of new procedures as needed for accounting and operational functions; conduct ongoing, regular review of existing procedures
  • Collaborate with University employees on other campuses to seek efficiencies and ensure best practices

Handle special projects and assignments from the Director of Business and Finance Services as needed. Also, handle other functions as the job requires to meet the needs and promote the success of the campus.

Working Relationships

This individual reports to the Director of Business and Financial Services and will interact primarily with the senior leadership team, research programs, and program leaders on the Olathe campus.

This position requires working in a team environment. The activities and scope of this position will require interaction with outside contacts and entities on a continual basis. This position will interact on a regular basis with a broad scope of diverse individuals.

What You’ll Need to Succeed:

Minimum Qualifications:

Bachelor’s degree, and one to three years relevant experience; or a minimum of 9 years of relevant work experience.

Preferred Qualifications:

  • Strong interpersonal and communication skills and the ability to communicate effectively with a wide range of individuals and constituents.
  • Strong critical thinking, problem solving, and organizational skills; the ability to work independently; and a high level of attention to detail.
  • Ability to effectively handle competing priorities and stringent deadlines.
  • Experience working in and adapting to multiple systems.
  • Proficiency in Microsoft Office Suite and experience with other applications such as Adobe Pro, Visio, Tableau, etc.
  • Commitment to working as part of a team and contributing to a positive team atmosphere.
